Mental Health & Safety Policy

Our Action

SmartWave Consulting is committed to creating a safe, supportive and positive learning environment for both students and tutors. Our platform, services and community spaces are designed with child safety, emotional wellbeing and digital responsibility at the centre of everything we do.

This policy outlines how we protect the mental, emotional and physical wellbeing of every user.

🔷 1. Our Commitment to a Safe & Supportive Environment

We believe that every child deserves to learn in a space that is:

  • Safe
  • Respectful
  • Inclusive
  • Encouraging
  • Mentally supportive

We also recognise that many of our tutors are university students who may face academic pressure, homesickness, stress or mental health challenges. Supporting them is equally important.

🔷 2. Student Safety & Child Protection

Safeguarding Standards


All SmartWave tutors who work with children must:

  • Complete Enhanced DBS checks (for UK tutors)
  • Complete safeguarding and child protection training
  • Agree to our Code of Conduct for Tutors
  • Follow UK child-safety standards at all times
  • Maintain professional boundaries online and offline
  • Report any safeguarding concerns immediately to SmartWave Admin


Online Safety

We protect students through:

  • Safe, moderated communications
  • No private messaging outside the platform
  • No sharing personal contact details
  • Age-appropriate behaviour expectations
  • Parent/guardian access to bookings and communication logs
  • Clear escalation steps in case of any concerns

🔷 3. Mental Health Support for Students

Meet My Friend – Student Community

Our student community is:

  • Moderated
  • Age-appropriate
  • Positive and encouraging
  • Designed to help reduce loneliness and anxiety
  • A place to share achievements, study goals, and motivation

No bullying, harassment, inappropriate content or unsafe behaviour is tolerated.


Wellbeing Monitoring

Our Admin team monitors:

  • Community posts
  • Patterns of distress
  • Sudden behavioural changes
  • Inactivity or struggle signals

Parents are contacted if needed.

🔷 4. Tutor Mental Health & Wellbeing

We recognise that tutors — especially university students , may face stress and workload pressure.


Meet My Pal – Tutor Support Community

A safe space for tutors to:

  • Connect socially
  • Share teaching experiences
  • Receive emotional support
  • Discuss challenges without judgement
  • Build friendships across universities


AI Wellbeing Check-Ins

SmartWave uses a gentle AI tool to:

  • Detect signs of burnout
  • Identify stress patterns in communication
  • Suggest rest, breaks or wellbeing activities
  • Encourage seeking help early

AI does not diagnose or replace professional mental-health support.

It functions as a gentle early-warning system.

🔷 5. Code of Conduct (Students, Parents & Tutors)

All users must follow:

  • Respectful communication
  • No harassment, bullying or discrimination
  • No sharing inappropriate or harmful content
  • No direct contact outside of SmartWave without parental permission
  • Safe boundaries between tutors and students
  • Immediate reporting of concerns

Failure to comply may result in account suspension or removal.

We encourage students, parents and tutors to report:

  • Safety concerns
  • Suspicious behaviour
  • Emotional distress
  • Boundary violations
  • Any inappropriate content
